Data deletion

If you have messaged a dental practice on Instagram or Facebook, Kaizo may hold a copy of that conversation so the practice can read and reply. This page explains how to have that data deleted, and what happens when you ask.
1. What Kaizo deletes on request
When you ask for deletion, we delete the data Kaizo holds about your Instagram or Facebook conversation with a dental practice: the content of the messages, your sender profile details (your name and profile picture as shared by the platform), and the platform identifiers Meta uses to route your messages to us.
2. How to request deletion
- Remove Kaizo from your Facebook or Instagram settings (Apps and Websites in your account settings). Meta notifies us automatically and the deletion starts without you having to contact anyone.
- Or email privacy@kaizosystems.com. Tell us the Instagram or Facebook account you messaged from and, if you remember it, the practice you messaged, so we can find the right conversation.
3. How long it takes
We complete deletion requests within 30 days, and usually much sooner: most are done within a few days.
4. What is not deleted, and why
Kaizo is software used by dental practices. When you message a practice, the practice is the organisation legally responsible for your data (in UK data protection terms, the “controller”), and Kaizo handles that data on the practice's behalf (as its “processor”). A deletion request to Kaizo removes the copy Kaizo holds. It does not remove records the practice itself keeps: for example, a lead or patient record the practice created from your enquiry.
To have those records deleted, contact the practice directly. The practice's own retention rules apply, and some records, such as dental records, may have to be kept for a legally required period.
5. Checking a request
If you removed Kaizo through your Facebook or Instagram settings, Meta will have shown you a confirmation code alongside a link to this site. You can check the progress of your request at any time on our deletion status page using that code. If you emailed us instead, we reply by email to confirm when the deletion is done.
